2. Scope of This Notice
This Privacy Notice explains how personal information is handled when you visit the website, submit an enquiry, request information about a property or project, request a valuation or listing consultation, or use a communication link on the website.
If a property transaction, rental, sale, listing instruction or other professional service progresses, additional information may be requested through a separate process and with further information where appropriate.
3. Information We Collect
3.1 Website enquiries
Our forms may collect:
- your full name;
- telephone or WhatsApp number;
- email address;
- your area of interest, such as buying, renting, investing, selling or listing;
- your message and stated preferences;
- the relevant property or project reference, title and page address;
- form language, enquiry source and submission time.
3.2 Communications and client-relationship information
When you communicate with us by email, telephone, WhatsApp or in person, we may process correspondence, viewing preferences, budget range, location preferences and other information you choose to provide.
3.3 Technical and security information
Limited technical information, such as IP address, browser/device information and request time, may be processed by hosting and security infrastructure to deliver the website and prevent abuse. The website's present form protection temporarily uses an IP address to limit repeated submissions made within a short period; the IP address is not written into the customer-enquiry database as part of the lead record.
3.4 Wishlist
The wishlist stores identifiers for properties you select in your own browser under the name cor-saved. This record does not contain your name, telephone number or email address. When you open the wishlist, the identifiers are requested from the website so that the selected properties can be displayed.
3.5 Sensitive information
Please do not send identity documents, bank details, health information or other sensitive personal information through the general website form. If such information is genuinely required for a transaction, a separate method with appropriate security and further information will be used.
4. Why and on What Basis We Use Information
We process personal information only for specified and legitimate purposes:
- receiving, validating and responding to your enquiry;
- identifying suitable properties or projects and discussing them with you;
- taking steps at your request before a viewing, valuation, rental, sale or listing relationship;
- providing client service, security and website functionality;
- preventing fraud, spam and misuse;
- complying with legal obligations and protecting legal rights.
Depending on the circumstances, processing is based on your clear consent, steps taken at your request before a contract, a legal obligation, or legitimate business interests that are not overridden by your rights and freedoms. These grounds are applied under section 6 of Law No. 89/2007.
We use the contact details provided in a website enquiry to answer that enquiry. This does not automatically authorise us to send you general or continuing marketing.
5. Is the Information Required?
Submitting a website enquiry is voluntary. However, if you do not provide the name, telephone number, email address, message and contact agreement marked as required, we may be unable to validate or respond to the enquiry.
6. Who May Receive the Information?
To the extent relevant and necessary, information may be shared with the following recipients or categories of recipient:
- authorised Chapter One Realty staff and consultants;
- property owners, authorised representatives, developers or cooperating property professionals where required to progress your request and where this is explained to you;
- website-hosting, database, security, backup and technical-support providers;
- technology and AI-assisted productivity providers used for drafting, translation, research or technical support where necessary and subject to data minimisation and access controls;
- email, telephone or WhatsApp service providers according to the communication channel you choose;
- lawyers, accountants, auditors, courts, regulators and public authorities where legally required.
We do not sell personal information. We do not give enquiry information to third parties for their independent direct marketing.
7. Processing Outside North Cyprus
The technical operation of website-hosting, security, communication or media services may involve processing outside North Cyprus. Any such transfer will be made only in accordance with applicable requirements and, where necessary, using explicit consent, an appropriate contractual safeguard or permission/licence from the competent authority.
Where ChatGPT or another AI service is used for business assistance, we seek to minimise or remove identifying information and do not intentionally submit identity documents, bank information or sensitive personal data through general AI tools. Such use may involve processing outside North Cyprus.
You may contact info@chapteronerealty.com for information about recipient categories and safeguards used.
8. How Long We Keep Information
Personal information is kept only for as long as necessary for the purpose for which it was collected.
- Website enquiries that do not become an active client matter or transaction are kept for no more than 24 months from the last meaningful contact.
- Active client or transaction records may be retained for the duration of the relationship and afterwards for the period required by applicable contractual, tax, accounting, professional or legal obligations.
- Security and error records are retained for shorter periods needed for security and technical investigation.
- Wishlist information remains on your own device until you remove it or clear the relevant browser/site data.
Where a legal dispute, official request or statutory preservation requirement applies, relevant records may be retained for longer to the extent necessary.
9. How We Protect Information
We use appropriate technical and organisational measures designed to reduce the risk of unauthorised access, loss, alteration or disclosure. These include access restrictions, secure connections, input validation, abuse controls and appropriate selection of service providers.
No internet transmission or storage system is completely risk-free. We therefore cannot guarantee absolute security, but we maintain measures proportionate to the risk.
10. Your Rights
Depending on your circumstances, Law No. 89/2007 may give you rights to:
- learn whether your personal information is being processed;
- receive information about its source, categories, purpose and recipients;
- request correction of inaccurate or incomplete information;
- request deletion, blocking or cessation of information processed unlawfully or no longer required;
- object to processing for legitimate reasons connected with your particular situation;
- ask, where practicable, for relevant recipients to be informed of a correction, deletion or blocking;
- apply to the TRNC Personal Data Protection Board if our response is insufficient.
The statutory response period for an access request is generally 30 days. The statutory response period for an objection is generally 15 working days. We may request reasonable information to verify your identity and clarify the scope of your request.
Send a rights request to info@chapteronerealty.com with “Personal Data Request” in the subject line.
11. Direct Marketing
Answering an enquiry and sending direct marketing are separate purposes. General property alerts, campaigns or continuing marketing messages will be sent only where you have given separate written consent. You may withdraw that marketing consent at any time; withdrawal does not affect processing already carried out lawfully before withdrawal.
12. Third-Party Links and Media
The website contains links to third-party services such as WhatsApp, Google Maps/Reviews, Instagram, Facebook and YouTube. If you open those links, the provider may process information under its own terms and privacy notice.
Some property images may load from the current third-party property-media provider. For those requests, the provider may receive standard connection information such as IP address and browser information.
We are not responsible for the independent practices of third parties. You should review the relevant notice before using their service.
13. Children's Information
The website is not directed to people under 18. We do not intend knowingly to collect personal information from children. Contact us if you believe information about a child has been submitted without appropriate authority.
14. Changes to This Notice
We may update this notice when the website's operation or legal requirements change. Material changes will be posted on this page with a revised “Last updated” date. If a processing purpose changes materially, the information required for the new purpose will be provided separately.
